It is possible to create links and QR codes for files and drawings in Inspectly, making it easy to share them with all relevant parties inside and outside the company - regardless of whether they have access to Inspectly or not!
In this article, you will find:
General information
Under "Global files" as well as "Files" and "Drawings" in projects, it is possible to generate a link for each individual file or drawing, which you can send and share with everyone relevant - instead of attaching files and drawings to emails or uploading them to multiple different locations.
If a file or drawing becomes outdated and needs to be updated, you simply need to upload a new revision to the old file in Inspectly, and the link that people have already received will automatically direct them to the new and updated file/drawing.
When there is an active link for the file/drawing, a small link icon is displayed next to the file:
As soon as there is a link for the file/drawing, it is also possible to download a QR code that leads to the file/drawing. This can be especially useful on construction sites, where the QR code can be printed and displayed, allowing everyone on site to easily and quickly access important information, regardless of whether they are registered as a user in Inspectly or not.
They simply scan the QR code with the camera on their phone or tablet and are then taken directly to our Document Portal, where the file is displayed and can also be downloaded.
Generate link for files and drawings
The procedure for generating a sharing link is the same for both files and drawings:
- Hover over the file and click the three dots
- Select "Share" in the small menu that appears
- Click "Generate link" in the pop-up box
- Click "Copy link" and then you can paste it wherever you need it—for example, in an email.
Generate QR code for files and drawings
After generating the link, you can also choose to download a QR code that points to the file/drawing, as the link is "embedded in the QR code." This allows you, for example, to print the PDF file with the QR code and display it in the site office on the construction site, so that people on site can at any time scan the QR code with their phone camera and view the file in our Document Portal - regardless of whether they are registered as a user in Inspectly or not.
Click "Download QR code" and then save the PDF to your PC or print directly from the browser:
NOTE: The options for saving and printing may vary depending on your choice of browser and the browser settings on your device.
