In this article, you can read about what the different status codes in a task mean and when a task changes status.
Task Statuses
The different statuses are categorized by different colors. By default, we have the following:
Orange - Awaiting completion
Green - Awaiting approval
Blue - Approved
Red - Rejected
You can also customize these "Task statuses" under:
Global ➜ Settings; Task types ➜ Click the pencil icon next to the relevant task type ➜ 2. Registration content ➜ Scroll down to "Task status" ➜ You can now customize the status colour names for the colour you want.
Task Flow
Statuses in a task involve which statuses a task can move through. There are four different stages a task can be in:
- Awaiting completion
- Completed
- Approved
- Rejected
Awaiting completion
The task can be created either via the app or the administration page. Upon creation, the task is given the status "Awaiting completion." When the task is created, it is assigned to a responsible user, who is the one who needs to perform the task.
These user types (assuming they have been assigned a "Major license" or "Task license") can create a task:
- Administrator
- Project Manager
- Employee
- App User (can only create a task from the app)
Completed
The user responsible can now perform/correct the task in the app. Once the task is completed, it receives the status "Completed."
The following user types can correct a task – correcting a task requires no license. However, it does require that they are assigned as responsible for the task.
- Administrator – can always correct a task, even if they are not listed as responsible
- Project Manager – can always correct a task, even if they are not listed as responsible
- Employee
- App User (only on the app)
- Read-only Access
Approved and Rejected
When a task is completed, the creator of the task must decide whether the task's completion can be approved or rejected.
If the task is approved, no further action is needed.
If the task is rejected, it will be marked with the status "Rejected," and those responsible will need to revisit and complete the task again.
An administrator and project manager can always approve or reject a task, even if they did not create it. Otherwise, it is the creator of the task who can approve or reject it.
Note: There may be some deviations based on the specific user types if a user group setting is configured. The settings for these user groups can be read below:
Account ➜ Users ➜ User Groups ➜ Click the pencil icon next to the user type assigned to the user ➜ Rights ➜ Scroll down to: Tasks

Account ➜ Users ➜ Internal ➜ Click the pencil icon next to the relevant user ➜ 2. User Access ➜ User Group
