The purpose of Drawings
Inspectly offers a range of features for managing project-specific files and drawings. It is essential to use the correct function within Inspectly’s system when working with "Files" or "Drawings."
When you upload your project-specific drawings in Inspectly’s "Drawings" module, you gain access to more relevant options compared to uploading them in the "Files" module.
By using the "Drawings" module for your project-specific drawings, you can:
- Upload new revisions* without needing to adjust workflows elsewhere
- Link your drawings to specific subprojects, ensuring the correct drawing is always selected and used in the field
- Use your drawings in connection with "Planned checkpoints" as part of your Digital Quality Assurance work
*The first version of a drawing you upload is automatically assigned revision number 1. If you later upload a revision of the drawing, the revision number will be updated to 2, and this continues with each new revision you upload. It is not possible to edit these numbers or assign a custom number. Revision numbers are automatically assigned for each uploaded drawing.
Upload a drawing
Open project ➜ Drawings ➜ Upload drawing
Select drawings to upload ➜ Enable/disable push notification ➜ Click on "Upload"
TIP: If you upload a file with more than one page, each page will be uploaded as an individual drawing.
NOTE! Only PDF files are allowed, with a maximum file size of 100 MB.
The drawings are now uploaded to the project:
Upload new drawing revision
When you receive new revisions of drawings that have already been uploaded to the project, it is recommended to upload them as new revisions. This way, you maintain a revision history, making it easy to keep track of which drawings have changed over time.
Click the upload icon next to the drawing you want to upload a new revision for:
Select a drawing to upload ➜ Enable/disable push notification ➜ Click on "Upload"
NOTE! Revisions can only be one page long and, just like the initial upload, must be in PDF format.
New revisions can also be uploaded under "Edit" on the specific drawing, which you’ll see in the next section where we go through settings and editing options.
Edit drawing and settings
If you click the three dots next to a drawing, you have the following options:
"Delete", "Download" and "Link to subprojects" can also be found under "Edit". We will now go through the various options and settings.
Edit
Click the three dots ➜ Edit
Here you have the following overview and editing/settings options for the drawing:
- Edit the drawing name
- Set whether it should be active or not
- View the revision history
- Upload a new revision
- View or download previous revisions
- Adjust marker size on the drawing
- Edit relations to subprojects
- Delete the drawing (including all revisions)
NOTE! Always remember to click "Save" if any changes have been made on this page.
Share
It is possible to share drawings via link and QR code, which we cover in a separate article.
Delete
If you want to delete a specific drawing, this can be done via the three dots or through the Edit page, as previously explained. If you need to delete multiple drawings, this can be done at once as shown below.
Check the box next to the drawings ➜ Select an action ➜ Delete
NOTE! When drawings are deleted, all previous revisions will also be deleted!
Download
It is possible to download the latest revision of a drawing by clicking the three dots and selecting "Download". Both the latest and previous revisions can also be downloaded under "Edit", as previously explained.
Link to subproject
If certain drawings are only to be used for specific subprojects, this can be limited by linking the drawings to those subprojects. This way, they will only be available for selection when marking on floor plans within the chosen subprojects. This helps prevent users from marking on the wrong drawing during the registration process.
You can link a drawing to subprojects via the three dots or through the Edit page, as previously explained. If you need to link multiple drawings to the same subprojects, this can be done all at once as shown below:
Check the box next to the drawings ➜ Select an action ➜ Link to subproject
Choose subprojects ➜ Confirm location
If drawings are only linked to specific subprojects, they will be marked with a folder structure icon. By hovering the mouse cursor over this icon, you can see which subprojects the drawing is linked to, as shown below:
TIP: It is also possible to select an entire folder of drawings and link it to subprojects. This way, all drawings in the folder and any subfolders will be linked to the selected subprojects.
Use of drawing folders
Drawing folders are used to organize and structure different types of drawings, such as floor plans and building sketches. The folders can be configured to suit your needs and linked to specific subprojects.
Create folder for drawings
Open project ➜ Drawings ➜ Create folder
Name the folder ➜ Adjust settings ➜ Create
Settings for drawing folders
- Active: This setting determines whether the folder is active or inactive. If the box is checked, the folder is active and can be accessed and used by your users. If not, it is inactive.
- Visible on phone: When this setting is enabled, the drawing folder can be accessed from the Inspectly app. This is necessary, for example, if the drawings in the folder are to be used during registration work in the app.
- Visible on ProjectWeb: If external organizations are linked to your project, it may be relevant to activate the "Visible on ProjectWeb" setting. This allows external organizations and subcontractors with access to ProjectWeb to view the folder and its drawings.
- Professions: If your project involves various professions, it may be useful to create drawing folders with material relevant to each profession. This ensures that your users always have the correct drawings at hand and don’t have to scroll through irrelevant ones.
