This article explains how to edit subprojects in an existing project and how to delete subprojects without deleting registrations related to a specific subproject.
In this article, you will find:
Access your subprojects
Your Projects ➜ Select Project ➜ Project settings; Project data➜ Click on subprojects.
You will now enter the "Subprojects page". Here you can create, edit, and delete subprojects. Below, we will go through how to edit and delete a subproject without losing data.
Edit a subproject
If you have a subproject that you want to rename or add a description to, follow these steps.
- Click on the desired subproject.
- Give the subproject a name.
- Add a description to your subproject.
- Finish by clicking "Save" and your subproject is now updated with a new name and description.
Note: You can tell which subproject you are editing by the blue highlight on the subproject name.
Filter subprojects
On the subprojects page, you can filter the types of subprojects you want to view. Here you can choose between viewing "Active" and "Inactive" subprojects.
Here you can click to select which subprojects you want to view. If you select "Active," your project structure will only show active subprojects. If you select "Inactive," both "Active" and "Inactive" subprojects will be displayed in your project structure.
After selecting the view for inactive subprojects, your inactive subprojects will be displayed with a warning triangle. In the same way that you deactivated a subproject, you can now reactivate it if desired.
Activate or deactivate a subproject
If you have a subproject you wish to deactivate, you can follow this guide.
Note: It is important to follow the guide carefully to ensure that no data is lost when deactivating the desired subproject.
First, select the subproject you want to deactivate. In this example, it is called "Room. 3".
There is a button called "Active," which indicates whether the subproject you have selected is active or not. If the button is "blue," the subproject is active, and you can see the registrations that have been made on that subproject.
If you choose to "Deactivate" the subproject, the button will turn "gray," and if you then click "Save," your subproject will be deactivated.
Note: If you have completed registrations on a subproject and choose to deactivate it, you will encounter this screen:
You now have two options regarding what to do with the registrations associated with the subproject you are deactivating.
- If you do not wish to transfer the registrations to another project, click the "Do not move" button.
- To ensure that the registrations are not lost, you have the option to move the registrations to another subproject. As shown in the image, there is a blue bar over "1st Floor Room 2," indicating that the marked subproject is designated as the location for transferring the registrations.
By clicking "Do not move," your registrations associated with the chosen subproject will not be transferred to another subproject. If you then click "Save," your registrations will be unavailable as long as the subproject is inactive.
Your project structure has been changed in connection with the deactivation of a subproject:
Note: If you have project-specific checklists on the subproject you are deleting, or a checklist structure that differs from that of the "Main Project," these will NOT be transferred to the subproject where the registrations are moved. Additionally, be aware that partial checklist responses that have not been synchronized to the admin side will no longer be available in the users' app.
Delete a subproject
If you have a subproject that you wish to delete, you can follow this guide.
Note: It is important to follow the guide carefully to ensure that no data is lost when deleting the desired subproject.
First, select the subproject you wish to delete. You will then be presented with the same page as when editing or deactivating a subproject.
Click "Delete" if you wish to delete the subproject.
After clicking delete, you will have the option to move the registrations associated with the subproject to another subproject or select "Do not move" if the associated registrations should not be moved.
After choosing whether to move your registrations to another subproject or selecting the "Do not move" option, you will be presented with a pop-up window asking you to confirm the deletion of the subproject.
After confirming the deletion of the subproject, your project structure will be updated, and the deleted subproject will no longer be available.
