What are status codes?
Status codes/color codes can be used in the following modules:
- Checklists
- HSE
- Inspection
- Tasks
It is possible to use status codes/color codes in conjunction with validation rules on checklists in the Checklists, HSE and Inspection modules, as well as priority colors in the Tasks module.
In the Tasks module, they are typically used to prioritize the importance of individual tasks. In contrast, in HSE, they are most often used to indicate how dangerous an observation is or potentially could be. Thus, there are multiple applications.
Where are status codes managed?
Status codes are managed in the same place where you manage validation rules. However, unlike validation rules, status codes are not specific to individual modules – there is a single pool of status codes that can be used across all modules.
Thus, you can manage the same status codes whether you are in the Checklists, Inspection or HSE module. However, they cannot be managed from the Tasks module but can be used later in the setup of different task types.
Below, we show how to access and manage your status codes via the Checklists module, but the procedure is the same whether you are in the Checklists, Inspection or HSE module.
Global ➜ Checklists ➜ Checklists ➜ Create a checklist or edit an existing checklist
Open the question settings by clicking the arrow next to a question, open the dropdown menu under "Add validation rule" and then click "Manage validation rules":
NOTE! If this is done via a new checklist, the answer type must first be set to, for example, Yes/No for the shortcut to the validation rules to appear.
A pop-up window will now open on your screen, where you will see your validation rules at the top. Scroll down to view status codes:
Here you can add and delete status codes, as well as change their names, making it easier to remember which colors you use for what.
When you click on "Add status code," a color is automatically assigned. If you want a different color than the one that appears, simply add a new status code and remove the ones you do not wish to use.
How to use status codes
Status codes can be used in conjunction with the setup of validation rules on checklists in the Digital QA, Inspections, and HSE modules. Read more about validation rules HERE!
In addition, status codes can be used for prioritizing different task types. If you want to use status codes as priority colors for tasks, you need to enable the "Priority of the task" setting in the "2. Registration content" tab directly on the task type.
