What is an equipment type vs. equipment?
Two examples of equipment types could be:
- Heat pump - air to water
- Heat pump - air to air
These are two different types/kinds/categories of equipment, whereas an example of a piece of equipment (a specific item) could be a "Panasonic All in One Compact air/water heat pump 7 kW".
When you set up equipment types, it refers to the overall type, for which you also select the fields (information) that need to be filled out when subsequently creating a piece of equipment of this type.
For example, for the equipment type "Heat pump - air to water," you might want to include the following fields:
- Brand
- Serial number
- Model
- Refrigerant
When subsequently creating a piece of equipment and selecting that it is of the type "Heat pump - air to water," you need to enter this information, for example:
- Brand: Panasonic
- Serial number: 123456789
- Model: All in one Compact
- Refrigerant: R32
Create equipment type
Global ➜ Inspection ➜ Equipment types ➜ Click on "Create equipment type"
Now fill in the following:
- Name ➜ Give your equipment type a name, e.g., "Heat pump - air to water"
- Standard inspection checklist➜ Select the checklist that is most often used for inspections of this equipment type (*)
- Standard inspection frequency ➜ Choose the standard interval for inspections of equipment of this type - if an annual inspection is required, enter 12 (*)
- Now click "Save" and the equipment type will be created
*This can be changed when creating equipment later if a different checklist or inspection frequency is needed in specific cases.
Create fields for equipment information
Global ➜ Inspection ➜ Equipment types ➜ Click on "Create field" under the relevant equipment type
Now fill in the following:
- Name ➜ Enter the name of the field, e.g., "Serial number"
- Field type ➜ Text/Number/List/Date - Select the type of information the field can contain (similar to the "Answer type" in checklists in both Digital QA and Inspections)

Settings ➜ Consider the following options:
- Required ➜ Enable if the field must be filled out when creating a piece of equipment, or leave it disabled if the field can be left blank
- Highlighted ➜ Highlighted fields will appear in the location and inspection overview, as well as in email notifications (recommended)
- Enable barcode search ➜ Use if you want the option to scan a barcode or QR code in the app, which leads directly to the inspection of a specific piece of equipment
- Unique ➜ Make the field unique, so it is not possible to create multiple pieces of equipment with this equipment type where this field is filled out with the same value already specified on another piece of equipment - e.g., "Serial number"
- Now click "Save" and the field will be created for the equipment type
Edit or delete equipment type and fields
Global ➜ Inspection ➜ Equipment types ➜ Click on the white or blue pencil
To edit an equipment type, click on the white pencil:
To edit a specific field for an equipment type, click on the blue pencil:
Similarly, click on the white or blue trash can to delete an equipment type or a field.
Deleting an equipment type will automatically delete its associated fields.
Note: Be aware that some changes will also affect existing equipment, such as removing fields.
Copy equipment type including fields
Global ➜ Inspection ➜ Equipment types ➜ Click on the copy icon
Name your new equipment type (the copy) and click Save:
