Note: It is possible to create a new inspection via the Global tab or directly on the specific project. Below, we show both methods.
Create a new inspection in the Global tab
Global ➜ Inspections ➜ Registrations; Inspections ➜ Click on "Create" ➜ Select location ➜ Complete the inspection task ➜ Click on "Save"
After clicking "Create," you need to select the location/project where you want to create an inspection task:
Next, the inspection task is completed in the same way as shown below in "Create a new inspection on a project".
Create a new inspection on a project
Your projects ➜ Open a project ➜ Inspections ➜ Inspections ➜ Click on "Create" ➜ Complete the inspection task ➜ Click on "Save"
You now need to address points 1-6 and fill in the task with information.
1. Master data
Internal text - visible in the app ➜ Information about the inspection that is visible in the app
Internal text - only visible on the backend ➜ Information about the inspection that is visible on the administration page
Priority* ➜ Optionally select the priority level of the inspection

2. Assignee
Select users ➜ Choose one or more users who are assignees and should have the ability to perform the inspection.
3. Observers
Observers ➜ Choose one or more users to be observers and thus receive notifications regarding the creation and completion of the inspection.
* Note! Both internal users, external organizations, and subcontractors can be selected as observers, as long as they are associated with the project.
4. Deadline
Select end date ➜ Choose the planned date for the inspection to be performed.
Select deadline ➜ Choose the latest date by which the inspection must be completed.
5. More tasks?
You now need to decide whether this should be a one-time inspection or a recurring inspection. If this is an inspection you need to perform, for example, once a year, you can choose "Recurring task" - see example by clicking HERE!
If "Recurring task" is selected, the following must be completed:
- Create automatically ➜ Set deadline criteria for the recurring task
- Select users ➜ Choose one or more users who are assignees and should have the ability to perform the recurring inspection.
- Select professions ➜ If you want to assign the task to an entire profession instead of specific users.
6. Equipment
Check all the pieces of equipment at the location that should be included in this inspection.
We recommend keeping "Include new equipment" enabled, as this allows any new equipment you subsequently add at the location to be automatically linked to active inspection. This way, you ensure that you never miss a piece of equipment in your inspections, as long as it is registered at the location.
Visibility and notifications
When you click on "Save," the inspection is created with the status "Pending inspection," which can now be seen in the overview on the administration page as well as in the app for the users assigned to the inspection.
Here is how it looks on the administration page:
An email is also sent to responsible users and observers with information about the inspection.
Similarly, a notification appears in the Notification Center in the app.
When the inspection is later performed and completed, the status is automatically changed to "Inspection completed" and an inspection report is sent by email to the following users:
- The user who created the inspection.
- The assignee who performed and completed the inspection.
- Observers associated with the inspection
- The customer, if they are correctly created and linked in Inspectly ➜ Create Service Sustomer
Example: Recurring Inspection Task
Here is an example of what happens and how it looks when "Recurring task" is selected during the
creation of the inspection and an inspection is performed.
In this example, we had set the original inspection task so that a recurring task would be automatically created when the inspection was completed, with the next inspection having a deadline 1 year after the completion date of the previous inspection:
In the image below, you can see that we had an inspection (no. 1) with a deadline of 25-07-2024.
However, the inspection was performed and completed on 25-07-2024, and therefore the new inspection (no. 2) has been created with a deadline of 25-07-2025:
