Scan a document

In this article we show you how to scan a physical document directly in the Inspectly App with Document Scanner — and how to display it in your report.

Scan a document 

Open the Inspectly App → open the camera on your registration → tap the Document Scanner icon → hold the camera over the document → tap Save

When you are in Document Scanner mode, the app automatically detects the document in front of the camera and saves it as a PDF.

 

Note: The screen may look slightly different on iOS and Android, but the steps are the same.

Tip: You can scan multiple pages in the same document. If you scan five pages, they become five PDF pages. Tap Save when you are done.

The document is saved as a file (PDF), not as an image. In the report it can be shown as a link and — if the setting is turned on — as the full PDF pages (see "How the document is displayed in the report" below).

Use Document Scanner as the answer to a photo question

If you have a question with the answer type Take a photo (for example in Digital QA), you can answer it with Document Scanner:

Select the question → tap Take a photo → tap the Document Scanner icon → scan → Save

The question now counts as answered. If you have a validation rule — for example "if the answer is No, you must take a photo" — it is triggered as usual, and any task created by the validation rule gets the document attached.

Note: Even though the document is saved as a file, it is also registered as an image on the question, so your answer and your validation rules work as expected.

How the document is displayed in the report

In the report your scanned document is always shown as a link that you can click to open and download the PDF.

If you also want to show the full PDF pages directly in the report, a setting must be turned on. The two settings look similar, but each one controls a different report type:

Go to your account settings → turn on Show PDF in reports

When you print a full report and choose which modules to include: select the module → turn on Show PDF in report for that module

Note: If the setting is turned off, your scanned document is shown only as a link — for both the single and the full PDF report. The link still works: click it to open and download the PDF.

Tip: If you scan multiple pages, they are shown as multiple PDF pages when the setting is turned on (five scanned pages = five pages in the report).

Worth knowing

Note: Document Scanner is only available in the app and only on registrations. You use it to scan via the camera — it is not intended for drawings or for uploading existing files.

Why does it say "photo taken" when I have scanned a document?

Document Scanner always saves the scan as a file (PDF). On a photo question, the question is at the same time marked as answered — "photo taken" — so your answer and your validation rules work as usual. The document itself is stored as a PDF file, not as a photo.
