Onboarding Knowledge Alerts

This article will explain what an Onboarding Knowledge Alert is, how to create them as well as how to activate or deactivate them.

Note! For new users to receive Onboarding Knowledge Alerts, it is important that they have a "Knowledge & Communication license."

What is an Onboarding Knowledge Alert?

Onboarding new users

Onboarding Knowledge Alerts can be used to ensure that new users and employees receive and review the essential knowledge they need when navigating a new organization and acting in accordance with its rules and guidelines.

With Onboarding Knowledge Alerts, it is easy to share information and knowledge with new employees. You can send PDFs such as manuals, safety documents, and user guides, as well as video files that support new staff during their onboarding process.

As soon as a new user is created in your system, they will receive the necessary files and documents to support their onboarding in your company.

Automatic Resends

It is also possible to activate automatic resends of Onboarding Knowledge Alerts, ensuring that your users and employees always have the necessary information readily available. This feature is particularly useful if your users are required to acknowledge that they have read and understood important safety documents, which are updated at specific intervals, such as annually, semi-annually, or monthly.

 

Create Onboarding Knowledge Alert

Global ➜ Knowledge Alerts ➜ Registration Types; Onboarding ➜ Click "Create."

 

Select file

You must now upload a file to your Onboarding Knowledge Alert.

You can choose to:

  • Upload a file from your global folder structure.
  • Upload a new file.
  • Add a video link.

Here you can upload a global file from your created folders.

 

Upload a new file

Here you can upload a file that is not saved in your global files.

You can upload files in the following formats: .PDF, .MOV, and .MP4.

 

Add video link

Here you can add a video link to your Onboarding Knowledge Alerts.

Select receivers

Select receivers for your Onboarding Knowledge Alert and add a comment that your receivers can read.

Note! New users created with a K&C license will receive Onboarding Knowledge Alerts as long as they meet the criteria set under the receiver selection.

 

Automatic resend

Enable Automatic Resends and select the interval.

This feature ensures that your Onboarding Knowledge Alerts are resent at an interval of your choosing. The function is useful when your organization has safety instructions that need to be reviewed and accepted annually, semi-annually, or at another interval.

 

Create

Complete the creation of your Onboarding Knowledge Alert by clicking "Create."

 

Your active Onboarding Knowledge Alerts can be viewed on the homepage.

 

Activate or Deactivate an Onboarding Knowledge Alert

Global ➜ Knowledge Alerts ➜ Registration Types; Onboarding ➜ Click on the Onboarding Knowledge Alert that needs to be activated/deactivated ➜ Click on "Go to Details Page" ➜ Activate or deactivate your Onboarding Knowledge Alert in the top right corner.

For your Onboarding Knowledge Alert to be active, the bar must be Blue.

If you want to deactivate your Onboarding Knowledge Alert, the bar should be Gray.
