Create and edit a Checklist

This article will cover how to create a checklist, select the correct answer type, and choose the appropriate question settings.

Create new checklist

Global ➜ Checklists ➜ Checklists ➜ Manage ➜ Create checklist ➜ Fill out and create questions ➜ Save checklist

 

When creating the checklist you are required to fill out the following points:

  • Checklist name
    Give your checklist a self-explanatory name so it's easy to find and use the correct one.
  • Checklist type
    Select the checklist type under which the checklist should be placed 
  • Profession
    Select which professions should be able to use the checklist. For example, if you only select "Carpenter", only users with the Carpenter profession will be able to view and complete the checklist.
  • Projects
    Select which projects the checklist should be linked to. It’s also possible to link the checklist directly from a project later on.

 

Next, it's time to create questions and adjust the settings, which we will go through in the following sections.

 

Question text and answer types

The checklist must contain at least one question, and each question basically consists of a question text (max. 250 characters) and a response type:

The question text is the actual question that needs to be answered (max. 250 characters).

The answer type is the method by which the question should be answered.

 

Below, we go through all the answer types and their meanings:

 

*Requires that items have been created in the global Product catalogue
**The sub-questions can have the answer types "Yes / No", "Integer" and "Text"

 

It is possible to add more questions and sections to the checklist, which can be done via the plus icon, "+" (questions only), and the "Add" button (both questions and sections), as shown in the image below:

 

Question settings

You can expand additional setting options for each question by clicking the arrow on the right side:

NOTE! The available settings may vary depending on the selected answer type.

 

The available question settings include:

  • Add "Not relevant" as a response option
    When this setting is enabled, users can answer the question with "Not relevant" instead of using the selected answer type.
  • Allow multiple answers
    When this setting is enabled, users can choose to answer the same question multiple times – resulting in answer no. 1, 2, 3, etc., for the same question.
  • Add validation rule
  • Add default answer
    Specify a default answer – for example, the answer that is most commonly used – to help the user save time when filling out the checklist.
  • Question details
    Here you can choose to disable the option to add documentation (e.g., images, PDF files, audio clips, etc.) to the question. 
  • Comment field (additional settings)
    - Add comment option: This makes it possible to add a comment to the question/answer in addition to the selected answer type.
    - Comment is mandatory: When this setting is enabled, it is mandatory to write a comment when answering the question.
    - Include comments in print: Enable this setting if you want comments related to the specific question to be included in printouts and reports.
    - Manage standard comments: By linking standard comments to the checklist, users can save time when filling it out by selecting from the added standard comments instead of having to write the comment themselves from scratch each time. This is especially useful if there are specific things you want noted or elaborated on in the comments, and helpful for employees with dyslexia or similar challenges.
  • Skip to questions
    For some answer types, it is possible to specify that you want to skip questions if a specific question is answered with a certain response. For example, if a question is answered with "No," the following question may not be relevant, and you may want to skip directly to the next relevant question. This is only possible in checklists that contain more than two questions.
  • Allow scanning of QR and barcodes
    For some answer types (e.g., Text and Integer), it is possible to allow scanning of QR and barcodes, whereby letters/numbers from the scanned code will automatically be inserted as the answer. If the scanned code contains a file, such as a PDF, the file and a link to it will also automatically be attached to your registration.

 

 

Edit existing checklist

Global ➜ Checklists ➜ Checklists ➜ Click on the blue pencil

 

NOTE! If you make changes to a global checklist, the changes will apply across all projects where the checklist is used. If you only want to edit a checklist for a specific project, this must be done directly within the project

 

Copy a checklist

Highlight the checklist you want to copy ➜ Click "Select action" ➜ Copy

 

Quickly see the content of a checklist

If you hover the mouse over the info icon, "i", next to a checklist, you'll get a quick overview of which questions are included in the checklist:
